Terms and Conditions for Pokephd Buylist Service

1. Introduction and Service Overview

Welcome to Pokephd's Buylist Service. These Terms and Conditions govern the sale of trading cards and sealed products to Pokephd through our buylist program. By submitting cards or sealed products to Pokephd, you agree to be bound by these terms. Please read them carefully before proceeding with any transaction.

Pokephd operates a buylist service that allows customers to sell individual trading cards and sealed products directly to our store. Our goal is to provide fair pricing, quick authentication, and prompt payment to our valued sellers.

2. Accepted Products

Pokephd currently accepts the following items through our buylist service:

  • Individual trading cards meeting our condition requirements
  • Sealed products in original packaging

We do not accept bulk lots, damaged packaging, or items outside these categories at this time.

3. Card Condition Requirements

Grading Standards

All cards submitted to Pokephd must meet our strict condition standards. We maintain a Near Mint (NM) only policy for all individual cards accepted through our buylist.

What Qualifies as Near Mint

Near Mint cards must be:

  • Pack fresh or of equivalent condition
  • Free from visible defects, wear, or damage
  • Properly centered with intact corners and edges
  • Free from creases, bends, or surface scratches
  • Free from discoloration or staining
  • In their original, unaltered state

Sleeving Requirements

All individual cards must be sleeved in penny sleeves before shipment to Pokephd. This requirement protects your cards during transit and is mandatory for all submissions.

Sealed Product Requirements

Sealed products must remain in original, factory-sealed packaging with no signs of opening, tampering, or damage. Any evidence of resealing will result in rejection.

4. Pricing and Price Holds

Quote Validity

All price quotes provided by Pokephd are valid for 7 days from the date of quote. After 7 days, prices may be subject to change without notice. If market conditions shift significantly, Pokephd reserves the right to adjust quoted prices.

Quote Requests

To receive an accurate quote, please provide:

  • Card name, set, and set number
  • Card condition assessment
  • Clear photos if requested
  • For sealed products: product type and manufacturing date if visible

Minimum Order Value

The minimum total value for any buylist submission is $20 USD. Orders below this threshold will not be processed. This minimum ensures efficient processing and fair resource allocation.

5. Shipping Instructions

Seller Responsibilities

Sellers are responsible for all shipping costs when sending cards or sealed products to Pokephd. This includes:

  • All carrier fees (USPS, UPS, FedEx, etc.)
  • Insurance and tracking (highly recommended)
  • Packaging materials

Shipping Address

Pokephd will provide the official shipping address upon quote acceptance. Sellers must ship to the address specified by Pokephd. Shipments sent to incorrect addresses are the seller's responsibility.

Shipping Security

We strongly recommend using insured shipping with tracking for all submissions. Pokephd is not responsible for packages lost in transit or damaged by carriers. Maintain proof of shipment and delivery for your records.

6. Receiving and Authentication Process

Processing Timeline

Pokephd aims to authenticate and assess condition within 48 hours of receiving your shipment. This quick turnaround ensures you receive payment promptly. Processing times may extend during high-volume periods, but we commit to completing evaluations as quickly as possible.

Authentication Standards

Upon receipt, Pokephd will:

  • Verify authenticity of all cards and sealed products
  • Assess condition against our NM standard
  • Confirm card details match the submitted quote
  • Photograph any concerns for documentation

Right to Inspect

Pokephd reserves the right to fully inspect all submitted items, including opening sealed products if necessary to verify authenticity and condition. This is standard practice in the trading card industry.

7. Condition Verification and Rejections

Quality Control

Not all submissions will meet our strict NM standards upon inspection. Pokephd maintains rigorous quality control to ensure fair market practices and protect both buyer and seller interests.

Grounds for Rejection

Cards or sealed products may be rejected if they:

  • Do not meet Near Mint condition standards for individual cards
  • Are not in factory-sealed condition for sealed products
  • Exhibit wear, damage, or defects not disclosed
  • Fail authenticity verification
  • Do not match the submitted quote description

Return of Rejected Items

Cards not meeting our condition requirements will be returned at the seller's expense. Pokephd will inform sellers when items are being returned and will provide return shipping instructions. Sellers must cover all return shipping costs. Pokephd is not responsible for items rejected after inspection.

8. Payment Terms

Payment Timeline

Upon successful authentication and condition verification, payment will be processed within 48 hours of completing the inspection. This rapid payment timeline reflects our commitment to fair and timely compensation.

Accepted Payment Methods

Pokephd accepts payment via:

  • Store Credit - Credited to a Pokephd account for future purchases
  • Bank Transfer - Direct deposit to a verified bank account

Payment Processing

Sellers will be notified of the payment method during the quote process. Bank transfer payments require verified account information. Store credit is automatically available upon payment processing.

9. Disputes and Claims

Dispute Resolution

If a seller disputes the authenticity assessment or condition evaluation, the seller must contact Pokephd within 7 days of notification. After 7 days, all assessments are considered final.

Documentation

Pokephd maintains photographic documentation of all items received and assessed. This documentation is available to resolve disputes and verify condition assessments.

10. Liability and Limitations

Risk of Loss

Pokephd assumes responsibility for items only upon receipt and verification of delivery. Items lost or damaged in transit are the seller's responsibility. Sellers assume all risk of loss during shipping.

Limited Liability

Pokephd's liability is limited to the quoted price of accepted items. Pokephd is not liable for:

  • Shipping costs or losses
  • Insurance claims
  • Consequential or indirect damages
  • Loss of value during transit

11. Prohibited Items and Conduct

Prohibited Submissions

Pokephd will not accept:

  • Counterfeit or fake cards
  • Altered or modified cards
  • Cards with evidence of restoration
  • Damaged or heavily played cards
  • Items violating intellectual property rights

Fraudulent Activity

Any attempt to submit counterfeit items, misrepresent condition, or engage in fraudulent activity will result in:

  • Rejection and return of items at seller expense
  • Forfeiture of any payment
  • Permanent ban from Pokephd buylist service
  • Potential legal action if applicable

12. Privacy and Personal Information

Pokephd collects and processes personal information necessary for payment and shipment purposes. All personal information is handled in accordance with applicable privacy laws. Pokephd will not sell, share, or disclose personal information to third parties without consent, except as required by law.

13. Modifications to Terms

Pokephd reserves the right to modify these Terms and Conditions at any time. Changes will be posted on our website and take effect immediately. Continued use of the buylist service constitutes acceptance of modified terms. Sellers are responsible for reviewing current terms before each submission.

14. Governing Law and Jurisdiction

These Terms and Conditions are governed by and construed in accordance with applicable state law. Any disputes arising from this agreement shall be resolved in the appropriate state or local courts. By using Pokephd's buylist service, sellers agree to submit to the jurisdiction of these courts.
